Controlling travel costs--problems with paperwork
Article Abstract:
Business travel and entertainment expenses are approaching 20 billion pounds sterling annually. Companies are realizing that their policies, procedures, and paperwork must effectively address and contain these rising expenses. Firms must develop and communicate comprehensive, written travel and expense (T&E) guidelines for the administrator, authorizer, and traveller. A ten step strategy is described which includes reviewing of current procedures and practices, gathering ideas from employees, studying the travel patterns, developing and promoting the policy, and reacting to abuses of the policy. A T&E audit will help determine how the policy is working and locate any blockages. Viable techniques for monitoring and containing T&E costs include use of company charge cards, and reducing paperwork handling expenses by accepting expense submissions only monthly.

Hotel bills generally comprise about 20 percent of a company's total travel expenses, and these can be reduced in several ways. Hotel chains such as Rank Hotels, Best Western, and Trusthouse Forte offer discounts on room rates and extra services for corporate clients, for instance, and companies with small travel budgets can manage hotel costs by using a room broker or specialist travel agent. Companies can also benefit by developing travel policies and communicating these to appropriate staff, and by simplifying its travel-related paperwork.

There are a number of ways in which a firm can manage its business travel costs. A company should first compare the prices and services offered by travel agents, airlines, and ticket agents. Other options for companies with large annual travel expenditures include hiring a full time staff member to handle business travel arrangements, allowing a travel agency to open an office on company premises, or going into a joint venture with a travel agent.
