Electronic document transmission involves sending structured edited text material between organization groups by means of compatible word processing systems. Messages sent by electronic mail and messaging systems are written, sent, and received in a less structured mode by users who usually communicate daily. Electronic mail ususally involves a central processing unit and memory, accessed by all users. Records management policies need to be established to control overloading memory, to schedule the retention of stored messages, and to define the authority over and access to stored messages.

Word Processing (WP), financial spreadsheet, and file management programs that are run on desktop computers may all be useful for records management applications. WP can prepare indexes and can perform search-sort routines independent of indexes. Spreadsheets can assist records management in preparing budgets and keeping track of expenditures. Both WP and file management software can create forms for tracking data which can then be searched and sorted for updating.
