Organizations including government agencies, regulated industries, corporations, or service organizations, receiving or sending documents that require a response by a specified date may benefit from automated record management systems. The records management systems can track steps needed to be taken until the action is closed out. Tracking can be action or commitment type systems available from vendors. Action and commitment tracking systems help to make sure that documents are routed to the appropriate person for a response, that activities are documented for future audit, that responses are sent on-time to avoid penalties, and that histories of past responses are available for reference when current actions are needed.

In successfully implementing an automated records system, user manuals, as well as user education and training, are key elements. Different manuals for different functions should be developed, and the manual itself should be as succinct and to-the-point as possible. At least three novice users should test and critique the manual before it is released for general use. An index and quick reference section should be included.
