Lotus Notes allows many practitioners to share documents
Article Abstract:
Lotus Notes 3.0. is a database program that allows separate work groups to create a channel for sharing information using a PC network. While Lotus Notes was designed to permit intragroup communication between work groups separated geographically, it is also useful for small companies that wish to link two offices. Practitioners in a tax practice will find it useful as a means to facilitate the sharing of documents and to establish a link with third party organizations that provide research information that may be needed by tax practitioners. Lotus Notes permits the sharing of information generated by all network users. Such information is then stored in databases that are individually controlled by separate access managers. Lotus Notes also provides templates for correspondence, document library, discussion, news wire and client tracking. It is available in several pricing packages, with a NOTES GROUP PACK for ten users being priced at under $595.

Software programs help you keep track of due dates

Three software packages can help tax preparers keep track of deadlines: Practitioners Publishing Co Inc's Trackker 5.0, Front Row Systems' CPA Tickler Database 2.0, and Harbour Systems Co's DDM Due-Date Monitor System 4.0. Trackker, a well-documented, easy-to-use program, has several features, including the ability to calculate due dates and generate client reports. The program costs $296. CPA Tickler, which is available in a multi-user version, can generate several types of reports, including client information reports, client letters, and fee reports. The package costs $259. DDM, which uses time-sensitive task tracking to keep track of deadlines, provides such practice management tools as workload reports and mailing labels. The program costs $235 or $385, depending on the version selected. All three packages require an IBM PC-compatible computer and 640 K of RAM.

Tax accountants require extensive reference materials, and new advances in computer-based and on-line reference materials can greatly aid their tax research. Prentice Hall's PHINET is an on-line data base which allows tax accountants to access an extensive tax library. To access PHINET, the practitioner must have a modem and communications software and pay for usage. CD-ROM disks hold up to 660 megabytes (MB) of information equivalent to 250,000 pages of text. Practitioners will require a computer with a CD-ROM drive to make use of CD-ROM-based libraries. Mathew Bender's Search Master Tax Library is a PC-based electronic library that requires an IBM-compatible 286- or 386-based PC with a minimum of 640 kilobytes of memory and a hard drive and MOS DOS 3.10 or higher. The program is relatively simple for practitioners with a knowledge of computers.
