How to conduct successful meetings
Article Abstract:
A recent study revealed that management preforms four sets of activities: traditional planning, controlling, and decision making; networking; communication; and human resource management. Communication, transmitting information in a form that can be understood, is the key factor that runs through all managerial activities. The main means of business communication are one-on-one communication, telephone calls, memoranda, and meetings. The only justification for a meeting is the need to achieve some goal. When planning for effective meetings, the establishment of goals is the most important variable determining its success or failure. The meeting leader should prepare an agenda, start the meeting on time, keep the discussion focused, control input, summarize the major points and confirm any decisions, and close the meeting on time.

Negative publicity in corporate settings often involves product failures, product tampering, product design or ingredient problems, and or crisis situations resulting in personal injuring and death. Because such publicity is unavoidable in crisis situations, companies need to devise response programs. Crisis response may take one of four forms: 1. reacting instinctively, 2. stonewalling, 3. complying with public pressure or 4. seizing the initiative; of these, the fourth alternative is most often best for the company's image in the long run, although each form of response is appropriate to certain situations. Several crisis situations are examined and company responses analyzed in order to develop guidelines for crisis communicating.can diffuse the crisis.

The Advanced Circuitry Division (ACD) of Litton Industries has formalized communication techniques such as meetings between workers and supervisors to solve problems related to productivity, quality control, and personnel management. All supervisors conduct a 30 minute monthly communication meeting to discuss problems in the workplace. During these meetings, managers tell the workers about production results and new orders. Less formal coffee meetings between the general manager and middle managers are also held monthly. The ACD also uses an ombudsman system to resolve employee problems that cannot be addressed through normal channels.
