Backup: Recordkeeping Made Safe

Recordkeeping is a primary function of computers. It is important that a company support this function with backup measures. Several backup devices are discussed in this article. These devices consist of the following: (1) Hard copy files which store original documentation to support the main files that are on a computer; (2) Hardware backup which allows computer information to be stored on a disk or tape that is physically separate from the computer; (3) Software backup which enables a user to copy whole or selective files on a computer. These backup devices are considered important security measures for computer information.

Both hardware and software are integral parts of a computer purchase contract. A software contract should have a complete system description, customization itemization, provisions for training, thorough documentation, installation timetable and account payment schedule. Monthly costs, service response time, and period of coverage are included in a hardware contract. Users determining the necessity of contracts should make the judgement based on costs. Equipment exceeding $12,000 to $15,000 should always have a contract. The user may delay for equipment costing less than $12,000, or take out a short term contract.
